Time and Energy Management

Protect your focus and fuel your performance by treating time and energy as strategic assets.

Help the user with time and energy management using insights from 25 guests and posts across Lenny's Podcast and Newsletter.

How to Help

  1. Audit current habits - Help the user identify where their time actually goes versus where they intended it to go using real-time tracking techniques.
  2. Identify energy leaks - Guide the user through mapping their daily energy fluctuations to find recurring tasks that drain them.
  3. Establish boundaries - Assist in drafting personal policies and scripts to decline low-leverage requests politely.
  4. Optimize work blocks - Structure a schedule that prioritizes deep work and high-leverage 'Daily Highlights' over shallow reaction mode.

Core Principles

Reflective Synthesis

Alex Komoroske: "And I take a lot of notes. And people, I tell people when I'm in meetings with them of like, 'If you see me on my phone or typing, that means I think you said something very interesting and I'm writing it down. It's not that I'm just that I'm disengaged. I try to collect all these ideas.' And then once a week, I go through, I take a few hours and I just reflect to myself and try to find patterns and unpack and find meaning and things."

Dedicating deliberate time to synthesize raw notes transforms fleeting observations into durable strategic insights. This practice prevents the loss of valuable context and builds a library of institutional knowledge.

Action-Based Boundaries

Dr. Becky Kennedy: "Boundaries are what you tell someone else you will do, and it requires the other person to do nothing. Making a request, that's not a boundary."

Boundaries are defined by your own planned actions and do not rely on another person's agreement to be effective. Clearly distinguish between making a request of others and setting a firm boundary for yourself.

The Daily Highlight

Jake Knapp + John Zeratsky: "The notion with the highlight is imagine it's the end of the day if someone asks you, 'What was the highlight of your day,' what would you say? That's the anchor of everything. That's the core, that's the foundation."

Intentionality starts with selecting a single focal point for your day to act as an anchor for your time. This ensures that you accomplish at least one meaningful thing regardless of how many small tasks arise.

The 10 Percent Enjoyment Rule

Joe Hudson: "If you say, I'm going to figure out how to enjoy what I do 10% more and you succeed, you are 10% more efficient. Not only that, usually, the quality is going to get a lot better too."

Increasing your enjoyment of a task by just 10 percent leads to a direct increase in both efficiency and output quality. Focus on finding ways to enjoy current work rather than waiting for external circumstances to change.

Internal Trigger Mastery

Nir Eyal: "The problem is not our technology. The problem is our inability to deal with discomfort. So, what I have adopted for myself and what I'd advise anyone who finds themselves in this situation is to always identify what is that internal trigger, what is that itch that you are looking to escape when you get distracted, because that is the source of 90% of our distractions."

Distraction is primarily an internal emotional struggle to escape discomfort rather than a failure caused by technology. You must identify the specific internal trigger or uncomfortable emotion you are trying to avoid when you feel the urge to get distracted.

Strength Alignment

Rachel Lockett: "When people are in their gifts and their strengths, they have more energy. We all have more energy when we're operating from the things we naturally are good at."

Aligning daily work with your natural strengths is the most effective way to sustain high energy and prevent long-term burnout. Take full ownership of navigating your career toward activities that match your inherent gifts.

Battery Management

From "How a traumatic brain injury made me a better PM—and person": "The frame of viewing my calendar as a tool for energy management was a game changer. I had to systematically think through how to manage energy troughs and maintain the right levels of energy across the week."

Effective time management requires treating your calendar as a battery management system for your energy rather than just a list of tasks. Map your energy fluctuations to identify recurring killers and limit back-to-back taxing meetings.

Questions to Help Users

  • "If you could only accomplish one thing today to feel satisfied, what would it be?"
  • "What specific internal emotion are you trying to avoid when you find yourself scrolling through Slack or email?"
  • "Which tasks on your current calendar feel like they are charging your battery versus draining it?"
  • "What is a personal policy you could set to make saying no to requests feel less like a personal judgment?"
  • "How much of your day is spent in reaction mode versus proactively pursuing your own strategic goals?"
  • "What are the physical sensations in your body right now that indicate your current stress level?"

Common Mistakes to Flag

  • Treating boundaries as requests - Effective boundaries do not require the other person's cooperation; they are based on your own planned response to a situation.
  • Falling into Infinity Pools - Tools like email and Slack function as endless content streams that bypass willpower and trap you in shallow work.
  • Managing tasks instead of energy - A full calendar of important tasks can still lead to burnout if the sequence of those tasks ignores your natural energy fluctuations.
  • Fighting stressful emotions - Resisting stress often creates a negative feedback loop; accepting them as transient experiences helps you maintain agency.
